PLACEMENT TERMS & CONDITIONS
By submitting your placement application and/or accepting an offer of a place on a DTA placement programme, you confirm that you have read, understood, and agree to be bound by these Terms & Conditions.
1. APPLICATION & CONTRACT FORMATION
1.1 These Terms & Conditions apply to your participation in DTA’s placements.
1.2 You agree to comply with these terms when you submit your application.
1.3 A legally binding contract between you and DTA is formed when DTA issues you a written offer of a placement and you confirm acceptance in the manner stated in your offer documentation.
1.4 These Terms & Conditions, your offer letter/email, any placement documentation, and related policies (e.g., the DTA Placement Policy and Risk Assessment) together form the contract between you and DTA.
2. ELIGIBILITY & APPLICATION
2.1 A place on a placement is offered on the basis that you meet the requirements specified in the placement information.
2.2 Applications must be complete and accurate. Providing false information may result in withdrawal of the offer or termination of your placement without refund.
2.3 DTA reserves the right to decline any application or withdraw an offer at its discretion.
3. FEES & PAYMENTS
3.1 The total programme fee (“fee”) is specified in your offer communication.
3.2 Unless otherwise stated, all fee payments must be made in GBP (£).
3.3 You are responsible for all costs not expressly included in the Fee (e.g., travel, accommodation, insurance, visas, immunisations, personal expenses).
3.4 DTA may withhold confirmation of your place until all required payments are received.
4. CANCELLATION & WITHDRAWAL
4.1 Changes or Cancellation by DTA:
(a) DTA may modify, postpone, or cancel the placement where necessary (e.g., health or safety reasons, government travel restrictions, insufficient enrolment, or circumstances outside DTA’s control).
(b) In the event of cancellation by DTA, you may be offered:
deferral to a later programme, or
a refund of fees paid.
(c) DTA’s liability in respect of cancellation is limited to refunds of fees paid; DTA is not responsible for other costs participants may incur in connection with the placement.
4.2 Your Cancellation Rights:
(a) You may cancel your acceptance by notifying DTA in writing.
(b) Refunds for cancellation (if applicable) will be determined according to the schedule in your offer documentation.
(c) After the placement start date, fees are non-refundable.
5. PARTICIPANT CONDUCT
5.1 You agree to behave responsibly and respectfully, including during placements, travel, and interactions with hosts, partners, and communities.
5.2 DTA may exclude you from the placement without refund if your conduct is unreasonable, harmful to others, or breaches applicable local laws or placement rules.
5.3 You must provide any information reasonably requested by DTA to support your participation.
6. HEALTH & SAFETY AND INSURANCE
6.1 You must comply with DTA’s risk assessment and safety guidance. For overseas placements, you must provide evidence of valid travel and medical insurance covering the full duration of the programme, including medical treatment, evacuation/repatriation, and liability cover.
6.2 For overseas placements, DTA does not provide personal travel or medical insurance; securing adequate coverage is your responsibility.
6.3 For overseas placements, you are expected to ensure you have all necessary health preparations (e.g. vaccinations) before departure.
6.4 Disclosure of any medical conditions which may pose a direct, immediate, and significant threat to the health or safety of you or others in the context of a placement, whilst not mandatory, is strongly recommended to support placement health and safety planning and manage risks. Such disclosures will be confidential and only shared with placement host organisations with your consent and on a ‘need-to-know’ basis.
7. DATA PROTECTION & PRIVACY
7.1 DTA will process your personal data in accordance with UK data protection law (including the UK GDPR and Data Protection Act 2018).
7.2 Personal data may be shared with partners, hosts, or service providers solely to administer your programme or for emergency purposes.
7.3 By joining a programme, you consent to DTA processing and sharing personal data as necessary for programme administration and health/safety support.
8. LIMITATION OF LIABILITY
8.1 For overseas placements, or local placements which are not hosted by registered organisations, you must arrange and maintain appropriate personal insurance, including, where appropriate, public liability insurance; this is a requirement of participation. Registered host organisations would normally maintain employee liability insurance which is extended to volunteers and interns and therefore personal insurance should not normally be required.
8.2 To the extent permitted by law, DTA’s liability to you for losses arising from your participation is limited to the total fees paid by you.
8.3 DTA does not accept liability for:
indirect, incidental, or consequential losses;
loss or damage to personal property; or
costs relating to travel, visas, accommodation, or other arrangements outside DTA’s control.
8.4 Nothing in these terms limits DTA’s liability for death or personal injury resulting from DTA’s negligence or other liability that cannot be limited by law.
9. FORCE MAJEURE
9.1 DTA is not liable for any failure to perform its obligations where such failure results from events outside reasonable control (e.g. natural disasters, pandemics, government action, civil unrest).
10. GOVERNING LAW AND JURISDICTION
10.1 These Terms & Conditions and any dispute arising from them shall be governed by and construed in accordance with the laws of England and Wales
11. THIRD-PARTY PROVIDERS
11.1 Some placement elements (accommodation, travel providers, community partners) may be delivered by third-party organisations.
11.2 DTA is not responsible for the performance or actions of third parties but will reasonably assist students where issues arise.
12. AMENDMENTS
12.1 DTA may update these Terms & Conditions from time to time. Changes will be published on the DTA website or sent to participants; continued participation after changes implies acceptance.
